Booking Conditions and Cancellation Policy

At Elem Adventures, we aim to provide a seamless booking experience for your Kilimanjaro climbs and Tanzania safaris. Please review our conditions carefully to ensure smooth processing of your adventure.

Booking

To confirm your booking, ensure the accurate names and nationalities of all clients are provided.
If there are any changes to your booking, please notify us promptly via email. We will hold your reservation based on the updated details, provided the cancellation policy has not yet taken effect.

Payments

  • 25% deposit is required to secure your booking. This deposit contributes to the overall trip cost and will be deducted from the total amount.
  • The remaining balance must be paid at least three (3) weeks before departure. Failure to make full payment may result in the booking being canceled and the deposit forfeited.
  • For bookings made less than three (3) weeks before departure, full payment is required immediately to secure the reservation.
  • All bank charges, including transaction fees, are the responsibility of the client or agent. The invoiced amount must reflect in our account without deductions. Any discrepancies due to bank charges will require a supplementary invoice.

Cancellation Policy

Cancellations must be submitted in writing to the office that confirmed your booking. The cancellation will take effect from the date it is received by our team. The following guidelines apply:

For Kilimanjaro Treks

  • If only the deposit (30%) was paid:
    • 10 days or more before departure: Free cancellation, 100% refund of the deposit.
    • Less than 10 days before departure: No refund.
  • If the full amount was paid:
    • 10 days or more before departure: 90% refund of the total payment.
    • Less than 10 days before departure: No refund.

For Safaris

  • More than 45 days before departure: 20% of the booking amount will be retained as cancellation fees.
  • 45 days or less before departure: No refunds will be issued.
  • Specific cancellation charges:
    • 60–45 days before arrival: 30% of the total booking.
    • 44–14 days before arrival: 50% of the total booking.
    • Less than 14 days before arrival or a “No Show”: 100% of the total booking.

Note: In some cases, stricter cancellation rules may apply. Refunds for hotel bookings or transfers will depend on direct costs involved.

If Elem Adventures cancels your tour for any reason, we will notify you as early as possible (no later than 14 days before the start of services) and provide either an alternative arrangement or a full refund.

Liability

Elem Adventures is not responsible for any loss or expense resulting from the loss of property, cancellation, or curtailment of your trip unless caused by our gross negligence or willful act.

  • We are not liable for sickness or accidents that interrupt a tour unless caused by our direct actions. No refunds will be issued for such interruptions.
  • We strongly recommend that all clients secure travel insurance to cover unexpected events, including cancellation, curtailment, or loss of personal belongings.

Complaints

If any issue arises during your trip, please inform both Elem Adventures and the service provider immediately. Most issues can be resolved on-site.
If you remain dissatisfied, submit a detailed written complaint to us within 28 days of completing your trip.
